Job Description
As part of our continuous growth, we are currently seeking a committed and detail-oriented individual to join our team in the role of Administrative Assistant. This position plays a crucial role in supporting the Office Manager and ensuring the smooth day-to-day operations of our office.
Role and Responsibilities
- Provide a positive and professional first point of contact for clients and visitors.
- Coordinating office deliveries, office mail, and couriers.
- Providing administrative assistance to ensure smooth office operations and actively contributing to meeting deadlines.
- Maintaining and updating the firm’s databases.
- Draft, proofread, and edit documents and correspondence.
- Scanning and filing of documents.
- Assisting in office errands as required by the Office Manager.
- Assist in monitoring the credit control function.
- Collaborate with team members to facilitate efficient workflow.
- Ensure the office is well-organised and presentable.
- Manage office supplies, place orders as needed, and maintain inventory.
- Assist with basic financial tasks, such as processing of invoices and preparation of bank deposits.
- Supporting the Office Manager in the management and coordination of office activities and operations.
Requirements
- Proven experience as an administrative assistant or in a similar role.
- Familiarity with basic accounting principles is a plus.
- Proficient in MS Office (Word, Excel, Outlook).
- Knowledge of Shireburn Indigo and Xero software will be considered an asset.
- Excellent organisational and multitasking abilities.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information.
- A positive attitude and an efficient team player.
- Responsible, motivated, and have an eye for detail.
