Job Description

We are presently in search of a committed and detail-oriented individual to join our team in the role of Administrative Assistant. This position plays a crucial role in supporting the office manager and ensuring the smooth day-to-day operations of our office.

Role and Responsibilities
  • Provide a positive and professional first point of contact for clients and visitors,
  • Coordinating office deliveries, office mail, and couriers,
  • Providing administrative assistance to ensure smooth office operations and actively contributing to meeting deadlines,
  • Maintaining and updating the firm’s databases,
  • Draft, proofread, and edit documents and correspondence,
  • Scanning and filing of documents,
  • Assisting in office errands as required by the Office Manager,
  • Assist in monitoring the credit control function,
  • Collaborate with team members to facilitate efficient workflow,
  • Ensure the office is well-organised and presentable,
  • Manage office supplies, place orders as needed, and maintain inventory,
  • Assist with basic financial tasks, such as processing of invoices and preparation of bank deposits,
  • Supporting the Office Manager in the management and coordination of office activities and operations.
Requirements
  • Proven experience as an administrative assistant or in a similar role.
  • Familiarity with basic accounting principles is a plus.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Knowledge of Indigo and Xero software will be considered an asset.
  • Excellent organisational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • A positive attitude and an efficient team player.
  • Responsible, motivated, and have an eye for detail.
